Covid-19 - Hiring the Hall - Guidelines and Risk Assessments

The trustees of Goring Village Hall have re-opened the hall for community use, but there are conditions that we will ask all users to follow.
 
Our intention is to keep all users as safe as possible, to prevent transmission of the Covid-19 virus between users of the hall, whilst making the hall available as much as possible. We ask all hirers to adhere to the guidelines which will allow us to achieve this goal for the maximum number of users.
 
At all times the Trustees will adhere to government guidance relating to the use of multi-purpose community facilities and we strongly recommend that hirers and organisers read the sections relevant to their activities. Click here
 
This means there are certain types of event that we will not permit. To avoid disappointment we ask that hirers ascertain whether their event is allowable before approaching the booking secretary.
 
Even so the Trustees of Goring Village Hall reserve the right to refuse or cancel bookings if events are not, in their view allowable, or to close the hall if mandated by government. We may also need to close the hall without notice for a limited period if someone contracts Covid-19 at an event in the hall or takes part in an event when they are likely to have been infected. If we need to take either of these actions, we will not pay compensation to users affected, but we will refund fees paid in advance.
 
There are three documents that hirers and organisers need to be use and there are links on this page to all of those.
1. Risk assessment for the hall (pdf)
This document is the risk assessment prepared by the trustees and used to prepare the action plan for making the Hall COVID-secure.  It is available to everyone and will be updated as required.

2. Risk assessment for hirers (Word so you can edit it)
This is a template for an event-specific risk assessment for hirers to use in addition to any other risk assessments they may have drawn up. The purpose of this document is to make hirers aware of Covid-19 related risks they need to plan for.

3. Guidelines for use of the hall (pdf)
This document is a set of guidelines regarding how to plan an event, how to book it, what to do before you go to the hall, what to do when at the hall, how to handle someone falling ill with Covid-19 and what to do after the event is over.
Please provide feedback if you feel that any of the guidance needs clarification or amendment.
